PARALEGAL POSITION

Holliday Energy Law Group is looking for candidates to join our growing team, primarily to assist in the operations of a transactional law practice. Candidates must have excellent written and verbal English, a full command of Microsoft 365 products, and strong proficiency working in a Microsoft Teams-based environment. This role will assist attorneys in preparing written legal work product for clients, managing firm-wide systems for deadline tracking and quality control, and supporting the operational infrastructure that ensures our clients receive timely, accurate deliverables.

Candidates must have a minimum of 5 years of direct experience as a paralegal, legal assistant, or in a comparable role at a large law firm or corporation. Experience in transactional, real estate, or oil and gas practice areas is strongly preferred. Candidates with demonstrated proficiency in AI-assisted workflows and legal technology platforms will be given strong preference.

Responsibilities

Attorney & Work Product Support

Your primary external responsibilities will be to support attorneys who provide legal advice in the form of title opinions and legal memoranda on oil and gas law issues that arise in the course of conducting exploration and production activities. This role will also provide direct support to the firm's administrative law practice area, including primary responsibility for drafting and filing motions before administrative agencies. This includes:

  • Drafting motions, applications, and filings for administrative proceedings, ensuring every document is accurate, complete, and ready for submission
  • Filing motions and documents with the appropriate administrative agencies, tracking filing confirmations, and maintaining filing records
  • Editing written legal documents for spelling, grammar, formatting, and consistency
  • Preparing legal document templates
  • Assisting with first-pass document review and research
  • Migrating data from MS Excel into MS Word
  • Preparing maps of the lands being worked on by attorneys
  • Assisting with the preparation of division order spreadsheets
  • Preparing regulatory filing drafts for attorney review
  • Assisting with administrative aspects of compulsory pooling applications
  • Preparing the final version of work product for delivery to clients

Deadline & Matter Management (LawToolBox)

The firm uses LawToolBox, a deadline management platform integrated with Microsoft Teams and Outlook, to track every matter and deadline across the firm. You will serve as the LawToolBox Administrator and Tickler Manager, which means:

  • Entering all new matters into LawToolBox within 24 hours of engagement, applying the correct deadline template, and assigning responsible attorneys
  • Monitoring the firm's deadline dashboard daily and alerting attorneys to any deadlines due within 48 hours
  • Ensuring that client review and approval steps are completed before any regulatory filings are submitted
  • Escalating at-risk deadlines to the managing attorney immediately
  • Generating and distributing the weekly firm-wide deadline report
  • Preparing the deadline summary for the Monday morning team huddle
  • Maintaining the integrity of the system — ensuring all matters are current, all deadlines are accurate, and all assignments are up to date

Standard Operating Procedures & Knowledge Base (Perfect Wiki)

The firm maintains its standard operating procedures, quality control checklists, and firm policies in Perfect Wiki, a searchable knowledge base inside Microsoft Teams. The office manager owns the maintenance and updating of the SOP manual and is responsible for new employee onboarding. Your role is to ensure that the SOPs are followed in practice. This means:

  • Verifying that attorneys and staff are following the documented procedures for each service line — title opinions, compulsory pooling, NMO CD filings, and division order spreadsheets
  • Flagging any deviations from SOPs to the managing attorney or office manager
  • Identifying process gaps or outdated procedures through your day-to-day work and communicating them to the office manager for updates
  • Referencing the SOPs and QC checklists as part of your own quality control responsibilities to ensure every deliverable meets the firm's documented standards

Quality Control Support

The firm operates under a formal quality control process for all deliverables. You will support this process by:

  • Tracking that every title opinion and regulatory filing passes through the firm's QC checklist before delivery
  • Confirming that the two-attorney review rule has been followed on every deliverable (drafting attorney + reviewing attorney)
  • Coordinating the client review step for all regulatory filings — sending drafts to clients for approval and logging confirmation of approval before filing
  • Supporting the monthly QC audit by pulling completed projects for review and documenting findings

Client Communication Support

  • Supporting the quarterly client pulse process — scheduling check-ins with top clients and tracking completion in HubSpot
  • Sending post-project check-in emails to clients within one week of project completion using firm templates

Client Onboarding

  • Assisting in the distribution of the firm's client onboarding package to new clients at the start of each engagement as directed by the office manager
  • Walking new clients through what to expect from HELG deliverables, including the division order spreadsheets

Internal Planning

Holliday Energy Law Group follows the Rockefeller Habits and operates on a quarterly planning cycle. For an entire day each quarter, we gather as a team with our professional coach to review our performance over the last 90 days and establish billable, process improvement, and other targets for the firm to achieve in the coming 90 days. Each firm-wide priority that we establish is supported by individual priorities, which are drafted and executed by the individual team members. Internally, you will play a role in the planning and execution of these priorities.

Requirements

Required:

  • Minimum of 5 years of experience as a paralegal, legal assistant, or in a comparable role at a large law firm or corporation
  • Strong command of written English and the ability to edit documents for spelling, grammar, and consistency
  • Exceptional attention to detail — this is non-negotiable. You will be responsible for verifying the accuracy of every fact, figure, party name, legal description, citation, calculation, and filing requirement in every document before it leaves the firm. You must have the discipline and instinct to catch errors that others miss, and the professional standard to never let an unverified detail pass through your hands.
  • Experience drafting and filing motions, applications, or other documents with administrative agencies or regulatory bodies
  • Proficiency in Microsoft 365: MS Word, MS Excel, MS PowerPoint
  • Strong proficiency in Microsoft Teams — this is our primary work environment. You must be comfortable navigating Teams channels, managing apps within Teams (LawToolBox, Perfect Wiki), participating in team chats, and using Teams as your daily operating hub
  • Proficiency in Microsoft Outlook — including calendar management, deadline tracking integrations, and email monitoring
  • Strong organizational skills with the ability to manage multiple matters, deadlines, and priorities simultaneously
  • Attention to detail — you will be responsible for catching errors before they reach clients
  • Proactive communication style — you raise issues early rather than waiting for them to become problems

Strongly Preferred:

  • Experience in oil and gas, real estate, or energy-related transactional practice areas
  • Experience with administrative law proceedings, including compulsory pooling, NMO CD filings, or oil and gas regulatory work
  • Experience with legal practice management or deadline tracking software (Clio, PracticePanther, LawToolBox, or similar)
  • Proficiency with AI tools — including but not limited to Claude (Anthropic), ChatGPT, or Copilot. We use AI to assist with research, drafting, document review, and workflow efficiency. You should be comfortable prompting AI tools effectively, evaluating AI-generated output critically, and integrating AI into your daily workflow as a productivity multiplier — not a replacement for professional judgment
  • Experience with HubSpot or similar CRM platforms
  • Experience managing or contributing to an internal knowledge base or wiki system
  • Familiarity with SharePoint and OneDrive within a Microsoft 365 environment

Nice to Have:

  • Paralegal certificate or degree
  • Experience supporting quarterly planning processes (EOS, Rockefeller Habits, or similar)
