About the Role:

We are looking for a well-organized and customer-oriented Service Writer to become part of our Central Road Services team. In this position, you will communicate clearly with our road service technicians to arrange repairs for both rental and service breakdowns. You will be tasked with ensuring quick communication with customers, promptly contacting them to schedule their requested services, invoicing repairs in a timely manner, sourcing necessary parts for repairs, collaborating with the Service Manager to identify warranty failures, approving daily labor for technicians, and collaborating with other service writers to maximize resource efficiency.

 

Business Operating Hours/Schedule: Monday through Friday, 7:30 am - 5:00 pm

 

In this role, you can expect to:

 

  1. Technician Management & Coordination
    1. Effectively schedule and distribute workload to technicians based on their skills, availability, and the nature of the repair.
    2. Manage and optimize technician workload to maximize efficiency and minimize downtime.
    3. Approve technician labor hours daily, ensuring accuracy and adherence to established procedures.
  2. Invoicing, Warranties, & Administration
    1. Accurately and promptly invoice customers for completed repairs, including labor, parts, and any applicable taxes or fees.
    2. Review invoices for accuracy and completeness before presenting them to customers.
    3. Explain charges and answer customer questions regarding their invoices.
    4. Process payments and maintain accurate records.
    5. Work closely with the Central Road Service Manager to identify and document warrantable failures according to manufacturer guidelines and submit warranty claims.
  3. Customer Communication
    1. Promptly and professionally answer customer inquiries regarding service needs for breakdowns (service and rental).
    2. Accurately document customer concerns  to create detailed repair orders.
    3. Contact customers promptly to schedule requested services, providing estimated timelines and costs.
    4. Proactively contact customers to provide updates on repair progress, discuss additional findings, and obtain necessary approvals.
  1. Other Duties:
    1. Collaborate with Parts Specialists at various locations to identify, order, and expedite delivery of required parts for repairs. Follow up on parts orders and communicate delays to customers promptly.
    2. Collaborate with other Service Writers to share resources and ensure efficient coverage during peak periods or absences.
    3. Participate in training programs to enhance skills and knowledge.
    4. Adhere to all company policies and procedures.
    5. Perform other duties as assigned by Manager.

 

Qualifications:

  • High School Diploma, GED, Technical or Trade School
  • Experience in a service writer, customer service, or related role within the automotive, equipment, or similar industry preferred.

Skills and Abilities:

  • Excellent communication, interpersonal, and customer service skills.
  • Proficiency in using computer systems and software, including service management software and Microsoft Office Suite.
  • Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
  • Detail-oriented with strong organizational skills.
