Position Overview
The Upfit Parts Procurement Associate is responsible for building and maintaining vendor relationships, procuring necessary parts, tracking orders, and ensuring inventory and invoicing accuracy. Success in this role requires adaptability, problem-solving skills, and the ability to work effectively under tight deadlines in a fast-paced environment.
Key Responsibilities
- Procurement & Inventory Management
- Monitor current parts inventory and track incoming orders.
- Forecast and order parts to maintain optimal stock levels.
- Receive and inspect parts, maintaining accurate inventory records.
- Vendor & Supplier Coordination
- Establish and maintain strong relationships with vendors.
- Negotiate pricing, terms, and delivery schedules to optimize cost-efficiency.
- Reconcile and report any order shortages, damages, or discrepancies.
- Financial & Administrative Tasks
- Reconcile vendor invoices and warranty returns.
- Track departmental sales and profitability metrics.
- Accurately price parts and jobs to maintain profitability.
- Work with DealerBuilt on fleet changes and issue resolution.
- Cross-Team Collaboration
- Work with sales teams to ensure parts availability for projects.
- Coordinate with drivers, assisting with scheduling graphics, tinting, etc.
- Support sales staff and chassis body upfitters with clerical tasks.
- Assist customers and sales teams with the delivery of customer-supplied equipment.
- Keep up to date with all pricing updates and product changes.
- Customer Service & Quality Assurance
- Ensure a high level of customer service in all procurement and fleet upfit operations.
Skills & Qualifications
Required Skills
- Strong verbal and written communication skills.
- Ability to multitask and meet deadlines in a fast-paced environment.
- Detail-oriented with a proactive and strategic mindset.
- Strong computer proficiency, especially with Microsoft 365.
- Problem-solving skills with the ability to find solutions to complex issues.
- Basic knowledge of accounting and financial reconciliation.
Preferred Experience & Education
- Associate or bachelor’s degree preferred OR five years of relevant experience.
- Valid driver’s license (must be insurable).
- Experience in procurement/supply chain management.
- Knowledge of vehicle upfitting and emergency vehicles is a plus.
