 Job Description

The Move-In Coordinator is responsible for managing and coordinating all aspects of the resident move-in process to ensure a smooth, organized, and positive experience for new residents and their families. This role serves as the primary point of contact for move-in logistics, collaborating with prospective residents, families, sales, health & wellness, maintenance, dining, housekeeping, and the life enrichment teams to create an exceptional move-in experience. The Move-In Coordinator helps improve resident satisfaction, supports occupancy goals, and ensures all move-in requirements are completed accurately and on time. 

Responsibilities

  • Prepare personalized tour materials, manage brochure/collateral inventory etc.
  • Assist with tours throughout the week, allowing FA's to dedicate intentional time to outreach. The vision for Family Advisors is to spend one full day (per week) on outreach, with the goal of generating Community Generated Leads.
  • After a deposit/reservation, coordinate and oversee all paperwork to support a seamless arrival and move in. This includes nurturing the 90% bucket weekly until move-in, creating personal connections (handwritten notes, nameplates, introducing ambassadors, move-in gift, etc.) and communicating with all team members so they are prepared to deliver a STELLAR welcome. 
  • Participate in occupancy and move-in planning meetings.
  • Assist with resident welcome events and marketing initiatives as needed.
  • Maintain accurate move-in documentation and resident files.
  • Track move-in checklists and ensure completion of all required tasks.
  • Prepare reports related to move-ins, occupancy, and resident onboarding.
  • Assist with updating community databases and electronic records.
  • Build positive relationships with residents and family members.
  • Answer questions regarding the move-in process and community services.
  • Conduct follow-up calls or visits during the resident's first week and first month.
  • Assist in resolving concerns and communicate them to the appropriate department.
  • Help create an exceptional first impression and transition experience.

 Qualifications

  • High school diploma required; associate's or bachelor's degree preferred.
  • At least one (1) year of experience in senior living, hospitality, customer service, healthcare, or property management preferred.
  • Excellent organizational and multitasking skills.
  • Excellent interpersonal skills. Effective written and oral communication skills to communicate with health care professionals, potential residents, family members and the community in general.
  • Ability to build positive relationships with residents, families, and team members.
  • Proficiency in Microsoft Office and electronic record systems.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Must be able to pass a background check.
  • Possess an I will and can do outlook.
