The Automotive Office Manager/Controller is the "financial backbone" of the dealership. This dual-function role is responsible for maintaining accurate financial records, overseeing the accounting office, and ensuring all administrative processes run efficiently to support sales and service departments.
Key Responsibilities
  • Financial Oversight & Reporting
    • Prepare and interpret complete monthly financial statements according to manufacturer (OEM) formats and time frames.
    • Conduct month-end, quarterly, and year-end closings, ensuring all journals and schedules are reconciled.
    • Provide daily operating control (DOC) reports to the General Manager to track trends and performance.
  • Cash & Asset Management
    • Manage the payoff of vehicle floor plans and coordinate with bank representatives.
    • Oversee daily bank deposits, cash flow forecasting, and petty cash controls.
    • Coordinate physical vehicle and parts inventory audits regularly.
  • Compliance & Internal Controls
    • Ensure compliance with all state and federal regulations, including tax reporting, payroll taxes, and DMV documentation.
    • Audit balance sheets and general ledger accounts to prevent fraud and ensure data accuracy.
  • Personnel & Administrative Leadership
    • Recruit, train, and supervise office staff (AP/AR, billing, title clerks).
    • Oversee payroll processing, employee benefit payments, and confidential HR files.
    • Streamline office workflows and manage vendor relationships for supplies and equipment.
Required Qualifications
  • Experience: 3–5+ years of experience in an automotive dealership accounting office.
  • Education: Bachelor’s degree in Accounting or Finance is often preferred, though significant dealership experience may substitute.
  • Technical Skills: Proficiency in Dealership Management Systems (DMS) such as  Dealertrack.
  • Soft Skills: High level of urgency, attention to detail, and the ability to maintain professional discretion with sensitive financial data.
