Lead Orthodontic Treatment Coordinator

Position Overview

As our Lead Treatment Coordinator, you will serve as the Bliss Coordinator, owning the new patient process while also providing leadership, coaching, and support to the Treatment Coordinator team. You will help ensure consistent delivery of the Smilebliss mission: Affordability, a Blissful Experience, and Time Efficiency. 

In addition to guiding patients through consultations, presenting treatment and financial options, and supporting confident same-day treatment starts, you will serve as a resource and role model for other Treatment Coordinators. You will help reinforce best practices, coach team members on consultation skills and case acceptance, and promote consistency across the patient experience. 

Smilebliss Model Delivery

Consultation and Treatment Coordination

• Lead the new patient consultation process from exam through treatment decision
• Present treatment recommendations clearly and support patient understanding of treatment benefits, timeline, and next steps
• Create a positive, efficient, and supportive consultation experience
• Model Smilebliss consultation standards and best practices for the Treatment Coordinator team 

Financial Presentation and Case Acceptance

• Present financial plans and payment options aligned with Smilebliss affordability standards
• Review and complete contracts and required paperwork accurately
• Support and encourage same-day treatment starts
• Coach Treatment Coordinators on financial presentations, overcoming patient hesitations, and improving case acceptance 

Same-Day Treatment and Follow-Up

• Coordinate same-day treatment starts, including contracts, consents, and scheduling
• Manage follow-up communication for patients who do not start the same day
• Conduct timely call-backs and continued outreach to support case acceptance

Operations and Documentation

• Maintain accuracy in contracts, patient records, and financial documentation
• Follow Smilebliss protocols and ensure compliance with office processes
• Communicate effectively with the clinical and scheduling teams
• Support practice growth through strong case acceptance and patient coordination
• Help monitor Treatment Coordinator performance and identify trends or opportunities for additional training 

Qualifications

• Minimum of 3 years of orthodontic Treatment Coordinator experience required; 5+ years preferred 
• Previous leadership, mentoring, or coaching experience strongly preferred 
• Strong communication and presentation skills
• Confidence discussing treatment and financial options
• Strong organizational skills and attention to detail
• Ability to work in a fast-paced environment
