SUMMARY: The Program Associate will be based out of the Sacramento office and will primarily provide project management and program support to the Office of Youth and Community Restoration (OYCR) Program Team (position will support all of the programs within the contract, 1) Capacity Building of Community-Based Organizations, 2) Ending Girls Incarceration and 3) Justice Service Network). Overall responsibility includes supporting the assigned program, other programs and initiatives within the Healthy Youth Development Team and broader Program Team, in the areas of grantmaking, program research, program development, implementation and administrative support. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Program Support

  • Execute program strategies at the direction of the supervisor by coordinating and communicating with program partners, grantees, and consultants.
  • Support supervisor in managing the day-to-day operations and coordination of the program.
  • Coordinate and serve as the point person for the planning and logistics for program events, webinars, and meetings, both on- and off-site. This includes contributing to the overall design of events, scheduling, coordinating with the conferencing department and monitoring the planning process.
  • Develop and prepare event materials including PowerPoint presentations, handouts, nametags, registration materials, and other document production, under the supervision of the supervisor.
  • Support the supervisor to develop, strengthen and implement the program’s internal and external processes to better serve the community partners and the goals of the program portfolio.
  • Under the direction of the supervisor, coordinate technical assistance to the program partners, community partners and grantees that is responsive to demonstrated needs. This includes convening, coordinating workshops and roundtable discussions informed by community partner input.
  • Facilitate small group meetings related to assigned programs.
  • Under the direction of the supervisor, assist with monitoring program-related expenses and program budgets.
  • Under supervision, conduct research, such as research on funding priorities and policy issues to inform program design, implementation, and enhancements.
  • Provide supervisor with administrative support during the creation, implementation, and management of programs.

 

Contract and Grant Support

  • Coordinate with the Program, Administration, Finance and Contracts and Compliance Departments in the development of contracts and grant agreements to accomplish program strategies. Review grant agreements and contracts for specifications and approval by the supervisor. Act as a liaison with the Administration Department in the coordination and monitoring of grant agreements, grants deliverables due, contracts and other third-party agreements that require the supervisor and/or President’s review and approval.
  • Assist with contract-monitoring process, which includes ensuring deliverables are submitted on time with appropriate content that is consistent with contract language, initiating approval of deliverables by supervisor, and monitoring invoicing. Monitor the master file of contractors, ensuring working files are integrated, correspondence, reports and payment documents are filed, essential documents scanned, and the database is updated.
  • Manage and coordinate development and response to requests for proposals under supervision. Assist with the development of the criteria, questions and final application. Communicate with applicants and grantees throughout the application process, as necessary.
  • Participate in the application review process. This position reviews funding applications, edits application project descriptions for input into the grantmaking database, prepares reports for the recommendation meeting, participates in recommendation meetings with program team members and other tasks as necessary.
  • Assist with the grant-monitoring process, which includes evaluation of grantee progress reports, providing technical assistance to grantees on grant- or award-related matters and ensuring timely response to monitoring issues.  Monitor the master file of each assigned grant and award, ensuring working files are integrated, correspondence, reports and payment documents are filed, essential documents scanned, and the database is updated.

 

Organizational Support

  • Work with the supervisor to actively track and summarize state and local policy issues that may impact program content areas.
  • Under supervision, work closely with the Evaluation Department to implement activities consistent with program evaluation plans.
  • Under supervision, assist with monitoring program-related expenses and program budgets, including third party budgets.
  • Assist as a liaison with the Communications Department and contribute content for newsletter, publication and video development, and other communications-related needs.
  • Actively participate as a member of the team by collaborating and attending department and Foundation-wide meetings.
  • Other tasks as assigned.

 

SUPERVISORY RESPONSIBILITIES

This position has no supervisory duties.

 

QUALIFICATIONS

EDUCATION AND/OR EXPERIENCE

  • A bachelor’s degree preferred or three (3) to five (5) years of experience in project coordination, preferably experience with nonprofit, community based or philanthropic organizations, or public institutions.  
  • Grantmaking experience is a plus.
  • Familiarity with public health, public policy, youth development, experience with placed-based and/or health and racial equity work is desirable. 

 

LANGUAGE SKILLS

  • Excellent written and oral communication skills.
  • Ability to read, analyze and interpret studies, proposals, reports, journals, financial and database reports, grant agreements, contracts, and memos. 
  • Ability to compose and edit business correspondence.
  • Ability to effectively present information in one-on-one and small group situations to grantees, employees of the organization and others.
  • Ability to facilitate small group meetings.
  • Bilingual skills are desirable.

 

COMPUTER SKILLS 

  • Must be proficient in Windows, Microsoft Office, Outlook, database software, Adobe Acrobat, and internet use.
  • Ability to learn and/or experience with cloud-based systems; examples include Salesforce, Concur, Zoom, Teams, Mailchimp and Constant Contact.
