Senior Helpers of Lawrence is seeking a dedicated Office Manager to help expand our world-class in-home supportive care services across Douglas, Leavenworth, and Wyandotte counties. Caregiver Support:

  • Assist with all caregiver recruitment activities, including interviewing, on-boarding, and hiring processes.
  • Support caregiver scheduling, training, and orientation to ensure proper staffing and preparedness.
  • Create and maintain new hire packets, ensuring all caregiver employment paperwork is completed accurately and filed per company policy.
  • Maintain and update the caregiver database, ensuring records remain current and compliant.
  • Manage caregiver retention initiatives, including rewards and recognition programs, in partnership with the owner to promote employee engagement and satisfaction.

 

Client Communications:

  • Create and distribute client welcome packets to ensure a smooth on-boarding experience.
  • Manage and maintain client records, including information from incoming leads and existing clients, while strictly adhering to HIPAA and privacy regulations.
  • Maintain effective communication with clients, family members, caregivers, and other stakeholders involved in client care, ensuring coordination and high-quality service delivery.

 

Office Operations:

  • Answer and screen incoming phone calls in a pleasant, professional manner, including following up on service inquiries.
  • Perform a variety of general office functions to support and promote a growing start-up home care business.
  • Proactively assist with client scheduling, resolving conflicts to ensure adequate caregiver coverage; finalize and confirm schedules for the next business day and weekends before the end of each shift.
  • Support the owner in maintaining regular office hours (9:00 AM – 5:00 PM, Monday through Friday).
  • Provide caregiver services as needed to cover open shifts (outside of office hours); overtime pay applies.
  • Travel locally (within a 20-mile radius) to visit clients (for assessments) and caregivers (for care plan reviews and monitoring).
  • Participate in on-call rotations as assigned.
  • Perform additional administrative and office tasks as needed to ensure smooth operations.

 

Qualifications:

  • High school diploma or equivalent required; bachelor’s degree, certifications, or related secondary education preferred.
  • Minimum of three (3) years of relevant work experience required.
  • Experience in office management, human resources, or healthcare administration preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) required.
  • Strong ability to maintain confidentiality and exercise sound decision-making aligned with company policies and philosophy.
  • Prior experience in healthcare or home care strongly preferred.
  • Residence in Lawrence, KS or within a 10-mile radius preferred.
  • Must possess a valid driver’s license and proof of insurance.
  • Background checks and pre-employment screening required.
