Full Time
Job Title: Billing Accountant
Pay: $60K-$70K
Position Type: Hybrid after training period
Overview
Altocare is seeking a motivated and detail-oriented Billing Accountant to join our accounting team. This role combines ownership of the billing and accounts receivable cycle with core staff accounting responsibilities. You will ensure invoices, cash receipts, and receivables are accurate and timely, and you will own the related journal entries, reconciliations, and reporting during the monthly close. Precision and organization are at the heart of this role: every invoice, payment, and reconciliation must be right the first time, and you will manage a high volume of recurring deadlines without letting details slip. You will also be a professional point of contact for franchisees, clients, and payers on billing questions. To be successful, you should take pride in accuracy, keep meticulous records, communicate clearly and professionally, be familiar with the full cycle of accounting, understand how billing activity flows to the general ledger, and ensure compliance with policies and procedures.
Key Responsibilities
-
Billing & Accounts Receivable
- Prepare, review, and issue accurate and timely invoices, including recurring franchise royalty and fee billing and client/payer billing.
- Post and apply customer payments, ACH receipts, and credits; research and resolve unapplied cash.
- Monitor the AR aging, perform collections follow-up, and escalate past-due balances in line with company policy.
- Investigate and resolve billing disputes, denials, short-pays, and ACH returns in partnership with operations and franchise support teams.
- Maintain accurate, well-organized customer master data and billing records in the accounting and billing systems.
- Review invoices and billing data for accuracy before release, catching errors in rates, quantities, and customer information.
Accounting & Close
- Prepare journal entries for revenue, AR, deferred revenue, and related accruals as part of the monthly close.
- Reconcile the AR subledger to the general ledger monthly and investigate and clear reconciling items.
- Analyze and recommend the allowance for doubtful accounts and bad-debt write-offs for management review.
- Perform monthly balance sheet reconciliations for assigned accounts and maintain complete, organized supporting documentation for all transactions.
- Prepare AR, revenue, cash collections, and DSO reporting and variance analysis for the Senior Accountant and Controller.
- Support compliance with GAAP and internal controls over billing, cash application, and revenue.
- Provide support during the financial statement audit by preparing AR and revenue schedules and responding to auditor requests.
- Maintain and follow a monthly close and billing calendar, tracking tasks to completion so nothing is missed.
- Identify and help implement process improvements and automation in billing and collections.
- Respond to information requests from the accounting and finance team as well as other departments.
- Assist the Senior Accountant and Controller with other accounting projects as needed.
Qualifications
- Exceptional attention to detail, with a demonstrated track record of producing accurate, error-free invoices, entries, and reconciliations, supported by disciplined habits such as checklists and self-review before work is submitted.
- Highly organized, with the ability to manage multiple billing cycles, deadlines, and priorities at once while keeping records complete and easy to audit.
- Effective professional communication skills, written and verbal, with the ability to explain billing and account issues clearly and courteously to franchisees, clients, payers, and internal teams.
- Bachelor’s degree in accounting, finance, or a related field.
- 2–3 years of accounting, billing, or accounts receivable experience; healthcare, home care, or franchise billing experience a plus.
- Working knowledge of GAAP, including revenue recognition and accrual accounting.
- Hands-on experience with AR subledger-to-general-ledger reconciliations and bank reconciliations.
- Proficiency in accounting software (preferably Sage Intacct) and strong Microsoft Excel skills (pivot tables, XLOOKUP/VLOOKUP, SUMIFS).
- Familiarity with billing systems and payer portals; Medicaid and managed care billing experience preferred.
- Strong analytical and critical thinking skills, with the ability to research and resolve discrepancies.
- Ability to meet month-end close and billing deadlines consistently.
