We are seeking an experienced and highly skilled Event Manager to join our world-class Event Management team. This role is critical in orchestrating and organizing events from conception to completion, ensuring every detail reflects the exceptional standards of Tony Robbins’ brand. The Event Manager will lead the planning, logistics, and execution of multiple live, virtual, and hybrid events, ranging from 1,000 to 50,000 attendees. This role requires someone who can balance strategic vision with meticulous attention to detail, foster collaboration across teams, and manage relationships with vendors, venues, and production crews.

RESPONSIBILITIES 

 

Event Management: 

  • Lead all aspects of event planning and execution for live, virtual, and hybrid experiences, ensuring every element reflects the Tony Robbins standard of excellence.

  • Conduct site selection and site visits, including hotels and independent activities, ensuring venues meet event standards.

  • Act as the main point of contact (POC) for venue management, logistics, and food and beverage (F&B) orders.

  • Oversee pre-event preparation, onsite execution, and post-event follow-up for events ranging from 1,000 to 50,000 attendees.

  • Keep focus on delivering a transformational participant experience and making the presenter’s role as seamless as possible.

 

Budget Management:  

  • Create, manage, and reconcile event budgets, optimizing spending for an outstanding participant experience while adhering to financial targets.

  • Collaborate with the Production Financial Analyst team to ensure fiscal responsibility and support accurate post-event reconciliations.

 

Team & Vendor Management: 

  • Lead event staff teams of 200–500+ people, ensuring they are well-supported, equipped, and aligned to deliver excellence at the highest level.

  • Build and maintain strong, collaborative relationships with vendors, contractors, and venue managers.

  • Negotiate contracts for accommodations, meeting spaces, F&B, equipment, and other key event elements, ensuring favorable terms and quality outcomes.

 

Logistics Coordination: 

  • Manage complex logistics including travel arrangements, hotel bookings, rooming lists, and activity scheduling for staff and clients.

  • Coordinate speaker logistics, including travel, contracts, and technical needs, ensuring a seamless handoff to production teams.

 

Technical Production Support:

  • Partner with A/V and production teams to ensure flawless execution of sound, lighting, and stage elements.

  • Demonstrate a willingness to understand and support technical areas as part of the larger event mission. 

 

Process & Systems Implementation:

  • Utilize systems such as Asana boards and Slack channels to streamline communication and project execution.

  • Support Accounts Payable (AP) functions, including payment submissions and invoice processing for employees, contractors, and vendors.

  • Procure and manage event supplies, compare bids, and coordinate shipping logistics. 

 

Post-Event Analysis: 

  • Evaluate the success of each event through data and feedback, identifying areas for improvement and applying lessons to future events.

Requirements 

  • 5+ years of experience in live/virtual/hybrid event management for no fewer than 1,000 participants, including multi-day and concurrent events.

  • Preferred experience in personal development or celebrity/speaker event environments.

  • Ability to travel approximately 50% of the time (or more, depending on event schedule).

  • Skilled in budget management, Excel, and project management platforms.

  • Excellent organizational skills and attention to detail, with the ability to multitask under pressure.

  • Proven ability to lead vendors, venue teams, and production crews in high-scale events.

  • Experienced in contract negotiation and vendor relationship management.

  • Professional demeanor with the ability to navigate high-pressure situations with poise.

  • Strong written and verbal communication skills with the ability to interact with suppliers, attendees, talent, and leadership.

  • Willingness to work irregular hours, including nights, weekends, and holidays, as needed.
