Essential Duties & Responsibilities:

•The Contract Clerk is responsible for reviewing new/used vehicle sales contracts and flooring for the dealership to ensure proper completion, compliance and accuracy

•Receives and processes new/used contracts from the Finance department and Posts retail and lease finance contracts to appropriate accounting schedules

•  Break down and organize all paperwork in each deal; check for completeness (signatures, verify VIN, etc.)

•Maintain organized filing system for all deals and paperwork

• Receipt all monies received for new and used car deals zero out cash clearing

Verify and post contract funding.

• Process pay-off checks for trade-ins and mail to appropriate financial institution in a timely manner.

•Reviews sales documents, such as sales contract, service contracts, GAP, APHA etc.… guest credit applications to ensure proper completion and accuracy

•Review and ensure accuracy of all incentives, rebates, commissions, and sales tax in deal

• Generate and maintain the salesperson’s commission reports and list of commissions on-hold (Payroll).

• Route paid deals to the tag and title clerk for processing as soon as money is received

•Inputs inventory control information to ensure accurate reporting

•Responsible for schedules pertaining to the sale of new and used vehicles including but not limited to payoffs, due bills, rebates, and vehicle receivables, Prints, analyzes, and distributes reports as requested by management

Submit weekly report on schedules with notes on outstanding items

•Post lender reserves, Gap, Alpha Warrr. etc.… payment received with check

• Provide administrative support to management, other departments, and employees

as needed.

• Any other duties as assigned by supervisor

• Must follow all company safety policies and procedures, and immediately report all accidents to a manager or supervisor
