Planned Parenthood Direct (PPD) is a sexual and reproductive telehealth platform powering Planned Parenthood’s hybrid care model — bringing trusted, digital-first Planned Parenthood care and expertise to patients while connecting them to in-person care when needed.

Job Summary

The Business Operations Lead is responsible for strengthening the operational discipline, efficiency, and overall health of the organization – ensuring all teams across the business can operate effectively and sustainably. Reporting to the Chief of Staff, this role works hand-in-hand with the CEO and entire Leadership Team, providing essential leverage. This is a highly cross-functional role that combines hands-on ownership of day-to-day systems with strategic process improvement and internal operations leadership. 

What you’ll do

Project Management

  • Project manage high-priority cross-functional projects – providing and managing clear timelines, proactively communicating progress, dependencies, bottlenecks, etc.

  • Act as a key partner/vendor manager and serve as the point of contact and coordinator for select partners / vendors, coordinating all deliverables, documentation, and timelines for external vendors to ensure seamless collaboration and meeting of timelines

  • Serve as project manager for Compliance & Business Filings

    • Partner with the CEO, Leadership Team, and Compliance Officer to provide project management of the organization’s compliance program

    • Track and ensure the required steps are taken to maintain compliance with all required state business registrations, reports, licenses, tax filings, etc.

Operational improvement

  • Partner with the Leadership Team to identify and implement process improvements across the business; continuously evaluate, develop, and implement data-driven insights and recommendations for ongoing improvement 

  • Drive internal reporting and insight generation to inform business decisions

  • Use financial and operational data to support the development of dashboards, summaries, and explanatory narratives 

  • Employee onboarding/offboarding and overall team culture

    • Oversee and continuously improve hiring, onboarding, and offboarding processes

    • Proactively support and build team culture

Administrative and financial support

  • Provide executive administrative support including but not limited to calendar/inbox management, meeting planning, and travel research/booking

  • Coordinate administrative aspects of team offsites and leadership/partner meetings

  • Support Finance with the monthly reconciliation process and with invoicing as needed, with the opportunity to refine and lead these efforts as you develop within the role

  • Other duties as assigned to support the organization's mission of bringing digital-first, Planned Parenthood care and expertise to more people in more places

 

Minimum qualifications

  • 3+ years of experience in project management, business operations, executive assistant, office management and/or similar roles — ideally within a fast-paced growth or startup environment

  • Robust project management skillset with experience independently leading multiple complex projects from planning to execution simultaneously

  • Strong analytical and problem-solving skills; highly detail-oriented and organized

    • Advanced skills in Microsoft Office and Google Suite

    • Experience with recruiting and HR or PEO (Professional Employment Organizations) platforms

  • Exceptional verbal and written communication skills with impeccable grammar, spelling, and editing skills

  • Experience working in healthcare services, digital health companies, or a patient-focused organization
