About the Role

Our Porsche dealership in Westlake is seeking a Dispatcher/Warranty Clerk. This is a great opportunity to take your automotive career to the next level. In this position, you will contribute to the success of Rusnak Group by coordinating claim submission and warranty receivables recovery and all associated documentation in a professional, timely and accurate manner to achieve individual proficiency goals established by management to support strategic plan objectives. In addition, you will be assisting with the growth and performance of the Service Department to achieve strategic goals. 

 

Compensation: $16.50/hr. - $36.00/hr. 

*Compensation will be based on experience and skill level.

Responsibilities

Effectively and Efficiently Assists with Coordinating Dispatch and Repair Activities

  • Successfully implements and maintains an effective dispatch system.
  • Schedules shop work to facilitate maximum productivity in accordance with dealership policy and the technician skill level required.
  • Prioritizes and controls all comebacks to ensure proper and prompt attention.
  • Reviews job status frequently, logging status, and reporting any change in time to the appropriate Service Consultant/Advisor and/or Client.
  • Maintains an organized and up-to-date repair log.
  • Reviews Service Technician Repair Orders (ROs) to ensure that assigned work has been performed and the RO has been properly completed; opens and closes repair orders.
  • Monitors repair activity represented in ROs for consistent application and compliance with established Company policies, procedures, processes, and practices.
  • Prioritizes and quickly processes work as needed to meet Client promise times.
  • Ensures concise and clear communication with all internal and external Clients; communicates job status with the next shift Supervisor.
  • Ensures that Service Technicians follow warranty material disposition procedures as required.
  • Prepares a list of needed Service Department equipment, supplies and required repairs; reviews list with the Service Manager as needed.
  • Coordinates parts requirements with the Parts Department; promptly contacts Client to schedule an appointment upon receipt of special order parts.
  • Advises Parts Manager and Service Manager of repetitive shortages.

Efficiently and Effectively Coordinates Claims Input and Warranty Claim Administration

  • Ensures claims are input correctly and on a timely basis with all relevant information included.
  • Seeks out and understands all manufacturer’s publications relevant to warranty claim administration.
  • Maintains accurate knowledge on all warranty claim processes and procedures.
  • Ensures repair order document storage complies with established corporate, legal and manufacturer’s retention requirements.

Consistently Works to Ensure Warranty Processes Are Maintained

  • Processes warranty claims on a timely basis for each franchise or distributor.
  • Processes all warranty paperwork to ensure proper documentation.
  • Verifies claim criteria required by factory or distributor.
  • Reconciles all warranty receivables with payments through the appropriate accounting schedule.
  • Resubmits all rejected claims promptly or receives authorization to write them off.

 

Qualifications

Education/Licenses/Certifications/Qualifications:

  • Universal Technical Institute (UTI) or Technical School graduate, or equivalent training and experience,
    plus three (3) years’ progressively responsible experience preferred.
  • Current California Driver License with clean Department of Motor Vehicle driving record.
  • High school graduate or equivalent;
  • Automotive administrative experience preferred.
