Summary
The Human Resources Assistant will be responsible for supporting the Human Resources department with critical HR Functions such as outsourcing of candidates, recruiting, and testing, conducting production tours and new hire orientations. This position also assists with entering payroll in the AS400 (payroll back-up) and compiling and maintaining employment records and handling basic data entry as well as assisting office support as necessary. This position acts as our first impression person, dealing with vendors, customers and visitors. Must be reliable and punctual.
Essential Functions
- Assist with the recruiting process by pre-screening candidates over the phone and job board and scheduling pre-qualified candidates for the production tour.
- Assists candidates that apply in person with the required paperwork and translates to non-English speaking candidates (if necessary). Scans proper documentation to initiate the background check process. Collecting paperwork and verifying paperwork is filled out accurately and completely. Finally, creates an Application Checklist to initiate the verification process.
- Support the hiring process by creating new employee files, coordinating badges, and collecting new hire orientation paperwork.
- Assists with scheduling and setting up candidates for pre-employment testing.
- Schedules and conducts New Hire Orientation. Sets up the room for orientation and check-in’s new hires, and paperwork prior to orientation.
- Track and maintain temporary employee timecards and consolidate necessary information for staffing payroll. Update staffing Temp Log; verify and approve temp invoicing. Prepare monthly Temp Labor Report.
- Assists HR Generalist I in entering payroll in AS400 and acts as a backup for payroll processing.
- Answers phones according to NWF’s professional standards and distributes phone calls to appropriate extensions in a timely manner.
- Provide administrative assistance to human resources and other departments as required.
- Greeting visitors, maintain visitor logbook, and notify the appropriate company personnel of visitor(s) arrival.
- Maintain a professional appearance in the lobby area.
- Maintain HR office and employee bulletin boards in production areas. This also includes posting jobs and managing communication on the communication monitors.
- Assists HR Team with monthly reports.
- Assist ordering employee uniforms and safety shoes on Grainger website.
- Keeps track of PIT licensing log; picture log and assigning locker list.
- Maintain and track all Equal Employment Opportunity (EEO) logs, Affirmative Action, and I-9s.
- Assists with Employee Announcement Monitor, and Monthly Birthday and Anniversary lists for employees.
- Perform other duties as assigned by Management.
Qualifications
- High School Diploma or GED. Associate’s degree preferred.
- Minimum of 2-3 years in general Human Resources functions with an emphasis on staffing, and recruiting experience preferred.
- Strong communication, analytical abilities, and organization skills.
- Must have reliability, a sense of urgency, and take the job with professionalism.
- Must be bi-lingual in Spanish/English with the capability of interpreting, reading, and translating general documents.
- Must be proficient in Excel, PowerPoint, and Lotus Notes.
