As the Executive Assistant to the President and CEO, you will think holistically and proactively to improve the effectiveness of the executive leadership team, the overall organization, its strategy, and its processes.This role requires a highly resourceful person who is smart, strategic, and one who takes initiative. The successful candidate for this position possesses strong analytical skills, exhibits strong emotional intelligence, and can lead through influence. This role will report directly to the President and CEO.

JOB SUMMARY

The Executive Assistant (EA) position serves as a strategic advisor and counsel to the President and Chief Executive Officer. Creates and maintains cross-departmental relationships to enable leadership success. Acts as a point of contact or gatekeeper between the President/CEO and external & internal stakeholders. This role provides direct support, guidance, and oversight of the President/CEO. Sets the President/CEO’s strategic priorities. Strategically manages the President/CEO’s time. Reviews external & internal communications, monitors information flow, oversees meeting & event preparation, project management, and strategic planning initiatives.

KEY DUTIES AND RESPONSIBILITIES

The duties and responsibilities listed below are representative of the knowledge, skills and/or abilities required to successfully perform this job. Duties may include, but are not limited to:

  • Acts as a strategic advisor to the President/CEO and Executive Leadership Team.
  • Represents President and CEO in meetings.
  • Supports President/CEO in meetings by taking notes and assuming responsibility for completion of action items.
  • Manages the President/CEO’s calendar and prioritizes their time and schedule.
  • Drafts letters, emails, reports, and other correspondence on behalf of the President/CEO.
  • Acts as the liaison between President/CEO and other executives, donors, staff, and stakeholders to ensure consistent communication and ensuring involvement or decision-making at the proper time.
  • Participates with the President/CEO and Executive Leadership Team in strategic planning, policy development, analysis, and decision-framing.
  • Ensures timely and effective completion of projects and initiatives of the President/CEO.
  • Researches and recommends new and revised policies and strategies.
  • Creates and maintains efficient systems and processes to streamline operations.
  • Establishes standards and procedures for hiring and managing the office staff and personnel for the President/CEO.

QUALIFICATIONS

The minimum level of knowledge, skills, and/or abilities required for this role include:

EDUCATION

  • Requires a Bachelor’s Degree in business administration, communications, management, marketing, or a similar field.

PREFERRED EDUCATION

  • Master’s in Business Administration and/or Juris Doctorate Degree preferred. Recommended in the field of business administration, communications, management, marketing, or a similar field.

EXPEREINCE

  • 8+ years’ managerial experience in operations management, project management, human resources management, or similar business-related roles.

PREFERRED EXPERIENCE

  • 10+ years’ experience in operations management, project management, human resources management, or similar business-related roles.
  • 5 + years’ people management experience.

ADDITIONAL QUALIFICATIONS

  • Must work on-site at Navy Pier.
  • Must be able to work flexible/unconventional hours, including early mornings, nights, weekends, and holidays, as necessary.
  • Meticulous and exceptional organizational skills.
  • Strategic interdepartmental relationship building, strong written and oral communications skills are critical for this role.

WORK ENVIRONMENT

Requires the ability to work extended (long hours) during a normal work week. Must be able to work nights, weekends, and holidays as necessary and required. Work is primarily performed in a normal office environment.
