This position is responsible for supporting the day-to-day administrative duties and functions of the Arts, Culture & Engagement (ACE) team. This includes managing and processing artist and vendor contracts; updating and maintaining artist and vendor files; drafting communications on behalf of ACE; serving as a liaison to Navy Pier communications and marketing team to provide update and accurate information on programs for promotion; coordinate production related communications interdepartmentally; and general support to all ACE programs and events as needed.

KEY DUTIES AND RESPONSIBILITIES

The duties and responsibilities listed below are representative of the knowledge, skills and/or abilities required to successfully perform this job. Duties may include, but are not limited to:

  • Maintain and update the ACE program calendar of events.
  • Process and track vendor invoices for payment.
  • Process and track artist and vendor contracts.
  • Create and manage program and artist files (physical and electronic).
  • Support all administrative functions, including maintaining ACE program reporting databases, correspondences, etc.
  • Create and assist with presentations regarding ACE programs and events.
  • Perform other duties as assigned.

QUALIFICATIONS

The minimum level of knowledge, skills, and/or abilities required for this role include:

EDUCATION

  • Bachelor’s Degree is preferred.

EXPERIENCE

  • A minimum of three to five years of nonprofit arts administration experience is preferred.
  • Ideal Candidate should have strong ties to the Chicago performance arts community.
  • Experience in event/arts production is preferred. 
  • Must be proficient in Microsoft Office programs (Excel, Word, Publisher, and PowerPoint) and other commonly used computer applications.

ADDITIONAL INFORMATION

Navy Pier operates every day, including holidays. Candidate must be able to withstand working long hours in inclement weather conditions, including nights, weekends, and holidays.

    WORK ENVIRONMENT

    Requires the ability to work extended (long hours) during a normal work week.  Must be able to work nights, weekends, and holidays as necessary and required. Work is primarily performed in a normal office environment.  Since work is sometimes performed outdoors in varying weather conditions, must be able to tolerate extreme temperatures or inclement weather.
