Job Summary
Menorah Park of CNY is seeking a highly organized and proactive Executive Assistant to support our CEO in driving the company's strategic initiatives and daily operations. This dynamic role requires a detail-oriented professional with exceptional administrative skills, technical proficiency, and the ability to manage multiple priorities seamlessly. As the right hand to the CEO, you will facilitate efficient communication, coordinate complex schedules, and ensure smooth office operations. Duties
- Manage and coordinate the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements with precision and foresight
- Prepare, proofread, and transcribe correspondence, reports, presentations, and meeting notes to ensure clarity and professionalism
- Attend Board Meetings and type up minutes
- Organize and plan company events, meetings, and conferences from logistics to execution, ensuring all details are flawlessly handled
- Handle incoming calls with professionalism using multi-line phone systems; direct inquiries appropriately while maintaining excellent phone etiquette
- Oversee office management tasks such as filing, data entry, bookkeeping
- Facilitate project coordination by tracking deadlines, preparing agendas, and collaborating with teams across departments to meet objectives
- Utilize video conferencing software like Zoom or Microsoft Teams for virtual meetings; troubleshoot technical issues promptly to ensure seamless communication
- Support personal assistance needs for the CEO including managing confidential information, personal appointments, and special requests.
Skills
- Demonstrated experience as an executive assistant supporting and senior leadership in a fast-paced environment
- Strong organizational skills with the ability to prioritize tasks efficiently while managing multiple projects simultaneously
- Proficiency in productivity software such as Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and Microsoft Outlook Calendar
- Excellent written and verbal communication skills with a keen eye for proofreading and transcription accuracy
- Experience coordinating events from inception to completion with attention to detail and logistical planning expertise
- Ability to work collaboratively with diverse teams while maintaining professionalism in all interactions
- Strong customer service orientation coupled with exceptional phone etiquette and interpersonal skills
