To enhance effectiveness of department heads by providing professional clerical and administrative support.

ESSENTIAL JOB FUNCTIONS

  •   Provides confidential administrative support to department heads

  • Responsible for establishing and maintaining official documents and records in appropriate (electronic) files

  •    Collects and prepares information for the department heads to use in discussions and meetings with executive staff members, board members and outside individuals

  • Provides historical reference by developing and utilizing filing and retrieval systems

  •    Independently prepares or assists in the preparation of regularly scheduled or special reports

  •  Composes letters and memoranda from verbal direction and/or from knowledge of organization policy or procedures.

  • Schedules and arranges for meetings and conferences, including coordinating some functions with other zoo departments

  •   Maintains the department heads’ daily appointment calendar; makes travel and lodging arrangements as required

  •   Receives and screens telephone calls, mail and visitors         

ADDITIONAL RESPONSIBILITIES

  •   May be asked to attend meetings, possible to take notes or furnish information

  •    May do research for a project

  •   Performs other duties as assigned

KNOWLEDGE, SKILLS & ABILITIES

·    Thorough knowledge of office practices, procedures and equipment, and ability to operate standard equipment

·    Thorough knowledge of and ability to communicate and be understood in business English

·    Ability to accurately type 60 words per minute

·    Thorough knowledge of PCs, using word processing, spreadsheet and database software, esp. Microsoft Office (Word, Excel, PowerPoint, Access, SharePoint).  Open to learning new technologies to assist with efficiencies.

·    Broad knowledge of zoo operations and policy

·    Ability to handle confidential matters with discretion

·    Ability to manage several tasks simultaneously and complete in a timely manner

·    Ability to work independently, exercising independent judgment and discretion

·    Ability to interact courteously and respectfully with supervisors, fellow employees, volunteers, zoo visitors and general public.

EDUCATION REQUIREMENTS

High School degree (or equivalent). Bachelor's degree preferred

EXPERIENCE REQUIREMENTS

At least five years experience in like position performing complex and responsible administrative support duties in a fast-paced office environment.

PHYSICAL REQUIREMENTS

Ability to sit for long periods of time

Ability to work in open office environment

Ability to traverse zoo grounds to facilitate tours, greet visitors, coordinate meetings

 

ADDITIONAL REQUIREMENTS

Available to work special events that may occur outside of regular work schedule, including evenings, weekends or holidays, as assigned.
