Position Summary
The Healthcare Staffing Specialist is responsible for coordinating caregiver schedules and ensuring clients receive reliable, high-quality service. This role requires frequent communication with caregivers and clients to manage schedules, resolve staffing issues, and ensure accuracy and continuity of care.
The ideal candidate is organized, detail-oriented, responsive, and comfortable working in a fast-paced environment where schedules and priorities can change quickly.
Key Responsibilities
- Coordinate and maintain accurate caregiver schedules based on client needs and caregiver availability.
- Fill open shifts and respond promptly to call-offs, schedule changes, and staffing needs.
- Communicate frequently with caregivers regarding schedules, assignments, changes, and expectations.
- Communicate with clients to confirm schedules, address concerns, and ensure services meet their needs.
- Proactively identify and resolve scheduling conflicts and coverage issues.
- Maintain accurate scheduling records and document changes, communications, and staffing activities.
- Monitor attendance, punctuality, and assignment status and escalate concerns when necessary.
- Work collaboratively with internal teams to address staffing and client service issues.
- Provide professional, responsive, and solution-oriented service to caregivers and clients.
- Maintain confidentiality and follow company policies and procedures.
Qualifications
- High school diploma or equivalent.
- Previous experience in scheduling, healthcare, client service, staffing coordination, or a related field preferred.
- Excellent communication and client service skills.
- Strong organizational skills and attention to detail.
- Ability to multitask, prioritize, and respond effectively to changing needs.
- Comfortable working with scheduling software and computer systems.
- Ability to remain calm and professional when handling urgent staffing situations.
Schedule Requirements
This position requires a flexible schedule that includes weekdays, evenings, and some weekends. The Staffing Specialist must be available during assigned hours to respond to call-offs, schedule changes, urgent staffing needs, and caregiver or client inquiries.
Success in This Role
Success is measured by accurate scheduling, timely communication, effective resolution of staffing issues, strong caregiver and client relationships, and consistent delivery of quality service.

- The position requires the ability to perform routine office tasks, which may include sitting, standing, walking, and occasional movement of light office materials up to 10 pounds.
