What You’ll Do

 

The Materials Management Coordinator provides administrative and operational support to the Materials Management Department through purchasing coordination, contract administration, vendor maintenance, reporting, and departmental projects. This position cross-trains with Purchasing Agents to provide coverage as needed and works closely with internal departments, vendors, and the Director of Materials Management to support efficient purchasing practices, contract compliance, cost savings, and exceptional customer service.

  • Cross-trains with Purchasing Agents and provides coverage during vacations, absences, or periods of increased workload, including assisting with purchase order creation, order follow-up, substitutions, samples, tracking, and issue resolution.
  • Monitors purchasing workflows and assists with the timely procurement of supplies and equipment.
  • Assists the Director of Materials Management with contract renewals and negotiations by gathering utilization and pricing data and coordinating related documentation.
  • Maintains accurate vendor records and processes new vendor requests and updates within the ERP/materials management system.
  • Ensures required vendor documentation, including W-9s, insurance certificates, and compliance documentation, is maintained when applicable.
  • Serves as a liaison between vendors and hospital departments to resolve routine issues and support effective customer service.
  • Prepares monthly, quarterly, and annual reports and compiles purchasing, inventory, contract savings, freight, and other operational metrics.
  • Assists with data analysis to identify trends, cost-saving opportunities, and opportunities to improve departmental processes.
  • Supports the implementation of new products, vendors, systems, and processes.
  • Supports inventory management initiatives, special projects, system testing, training, and other departmental initiatives.
  • Assists with maintaining department policies, procedures, and standard operating procedures.
  • Coordinates meetings, maintains department files, and organizes departmental documentation.
  • Maintains confidentiality of sensitive business and contract information.
  • Identifies and supports opportunities to improve departmental workflows and operational efficiency.
  • Maintains compliance with hospital policies, purchasing standards, and applicable regulatory requirements.
  • Demonstrates professionalism, teamwork, and effective communication skills.

Who We’re Looking For

Associate degree in Business, Supply Chain Management, Healthcare Administration, or related field preferred.

Equivalent combination of education and experience may be considered.

Minimum of two years of experience in purchasing, materials management, healthcare supply chain, contract administration, or related field preferred.

Experience in a healthcare environment preferred. Experience using ERP or materials management software preferred.

Compensation may vary outside this range depending on a number of factors, including a candidate’s qualifications, skills, competencies and experience.
