FUNCTION

The Lifestyle Coordinator designs and delivers a vibrant calendar of programs, special events, outings, and entertainment that satisfies the body, mind, and spirit of every resident. This role owns the community’s signature programs—including the High Adventure Club and the Veteran Recognition Program—while leading the volunteer program and championing customer service excellence through ongoing team trainings. The Lifestyle Coordinator brings Stellar’s vision of a stellar life to life every day, embodying our values of service, inspiration, integrity, and joy.

MINIMUM QUALIFICATIONS

  • High School diploma or equivalent; Bachelor’s degree in Recreation, Therapeutic Recreation, Hospitality, Event Management, or related field preferred.
  • Two (2) or more years of experience planning events, programs, or guest experiences—preferably in senior living, hospitality, or healthcare.
  • One (1) or more years of leadership experience preferred (managing volunteers, teams, or cross-functional projects).
  • Strong oral, written, and presentation skills; comfortable training peers and speaking in front of residents, families, and the public.
  • Demonstrated ability to lead small and large groups as facilitator, host, or trip leader with enthusiasm and purpose.
  • Proven budget management and vendor-negotiation skills; able to research, interview, and book entertainment within budgetary guidelines.
  • Proficiency with Microsoft Office, calendar/scheduling tools, and digital communications (newsletters, social media, resident apps).
  • Valid driver’s license in good standing; CDL if required by community vehicle. Comfortable driving residents to outings.
  • Current Food Handler’s Permit (or ability to obtain within 30 days of hire); CPR/First Aid certification preferred.
  • Ability to pass a background check and pre-employment drug screen. Ineligibility per state regulations applies (see EEO statement).

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES

Special Events & Theme Programming

  1. Plans, produces, and hosts all signature special events—seasonal celebrations, family nights, milestone birthdays, holiday parties, themed dinners, and cultural observances—from concept through cleanup.
  2. Decorates the community in a tasteful, dignified, and theme-appropriate manner; manages event décor inventory, setup, and teardown.
  3. Owns the master events calendar; balances physical, mental, social, and spiritual programming so every resident has something meaningful each week.
  4. Tracks event participation and gathers resident and family feedback to continuously elevate quality and turnout.

Outings & Transportation

  1. Plans and leads regular community outings—shopping trips, scenic drives, restaurant visits, museums, faith services, sporting events, and seasonal excursions—tailored to resident interests and abilities.
  2. Coordinates ADA-compliant transportation, accessible venues, and appropriate staff-to-resident ratios; performs route and venue risk assessments in advance of every outing.
  3. Maintains accurate manifests, emergency contact info, medication lists, dietary needs, and signed waivers for every off-campus trip.
  4. Drives community vehicles when needed and ensures all drivers/escorts meet licensing, training, and insurance requirements.

Entertainment Booking & Vendor Management

  1. Researches and schedules musicians, performers, lecturers, artists, and presenters that align with resident preferences and budget.
  2. Negotiates contracts, processes invoices, and tracks entertainment spend against budget; maintains a vetted bench of preferred performers.
  3. Builds and maintains relationships with outside resources—local senior centers, religious groups, libraries, hospitals, schools, museums, and merchants—to enrich programming at low or no cost.

High Adventure Club

  1. Owns the High Adventure Club end-to-end: plans and executes a quarterly day trip or overnighter and one annual signature multi-day trip (examples include glamping, national park lodge stays, stargazing, casino-and-concert nights, multi-day train tours, coastal cruises, dude ranches, and historic city tours).
  2. Builds 9–12 month planning runways for the annual trip; conducts interest surveys, hosts family info nights, and previews trips at community meetings and in newsletters to build excitement.
  3. Designs trips that are active but accessible: reserves accessible lodging (elevators, grab bars, climate control), coordinates medication routines with the wellness team, and offers tiered activity options based on mobility.
  4. Caps group size at 8–12 residents per trip and confirms staff-to-resident ratios that maintain safety; coordinates with the ED, LED, and FA to staff trips with familiar, capable team members and an on-call nurse or trained caregiver.
  5. Conducts advance risk assessments, packs first-aid and mobility support kits, secures liability waivers, and aligns participant eligibility with the wellness team’s health-screening process.
  6. Communicates all associated costs (transportation, lodging, meals, care team support, activity fees) to residents and families in advance, and coordinates payment, registration, and consent forms.
  7. Consults Life Story Profiles to personalize destinations and itineraries; offers pre-trip conditioning (gentle walking groups, balance classes, destination-themed workshops) and post-trip memory books, group photos, and storytelling reflections.
  8. Builds in dignity-and-joy moments—favorite snacks, music playlists, surprise “VIP” touches—and partners with travel companies or recreation therapists for larger experiences.

Veteran Recognition Program

  1. Owns the community’s Veteran Recognition Program end-to-end: identifies resident veterans (in partnership with the wellness and admissions teams), captures their service histories with permission, and ensures every veteran is recognized in a personally meaningful way.
  2. Plans and hosts monthly veteran recognition moments—pinning ceremonies, salutes at community gatherings, milestone branch/service anniversaries, and dedicated programming around Memorial Day, Independence Day, POW/MIA Day, Veterans Day, and Pearl Harbor Remembrance Day.
  3. Facilitates a recurring veterans’ group with monthly meetings and activities—guest speakers, service-branch socials, story-sharing circles, military-history programs, USO-style entertainment, color-guard visits, and outings to memorials, museums, or veteran-focused events.
  4. Builds, maintains, and updates the Veteran Wall of Honor: curates resident photographs, branch insignias, service dates, and brief bios; refreshes the display as new veterans are welcomed or honored, and keeps it accurate, dignified, and visually polished at all times.
  5. Coordinates with local VFW, American Legion, Honor Flight, JROTC, and veteran-service organizations to bring volunteer support, ceremonial elements, and recognition resources into the community.
  6. Captures and documents veteran stories with consent (oral histories, written profiles, photo archives) and works with marketing to share recognition moments with families and the broader community when appropriate.

Customer Service Trainings

  1. Designs and delivers ongoing customer service trainings for community team members—new hire orientation modules, monthly refreshers, role-plays, service recovery huddles, and family-experience workshops.
  2. Models and reinforces Stellar’s service standards and values (Service, Inspiration, Integrity, Joy) in every interaction with residents, families, vendors, volunteers, and the broader public.
  3. Partners with the ED and department leaders to identify service gaps from resident/family feedback and Mystery-Shop or NPS data, then builds targeted training to close them.
  4. Acts as a representative of Stellar Senior Living to the general public; adheres to professional standards in personal appearance, conduct, and motives.

Operations, Compliance & Team Support

  1. Maintains an accurate, up-to-date database of resident interests, preferences, and Life Story Profiles, plus a separate database of prospective residents for marketing-supported events.
  2. Stocks and maintains the gift shop in a professional, well-merchandised manner within budgetary guidelines.
  3. Assists the Activities Manager in directing, coaching, and assigning tasks to activities staff; steps in to lead the department in the manager’s absence when asked.
  4. Knows and complies with company policies on Unusual Occurrence Reports, Employee Incident Reports, infection control, emergency response, resident rights, abuse prevention/reporting, and resident confidentiality (HIPAA).
  5. Demonstrates the ability to make independent decisions, solve practical problems, interpret instructions in written, oral, diagram, or scheduled form, and listen actively—evaluating social situations objectively, consistently, and fairly.
  6. Functions independently with integrity and flexibility; works effectively with residents, personnel, families, and support agencies. Remembers and recalls residents’ names.
  7. Demonstrates knowledge of and complies with the Employee Handbook. Performs other related duties as assigned.

WORK ENVIRONMENT

This position is subject to both inside and outside environmental conditions. Activities occur inside and outside the community and during off-site outings and trips. The Lifestyle Coordinator is regularly exposed to large groups in rooms with moderate noise levels and may travel for overnight or multi-day excursions. Some evening, weekend, and holiday hours are required to align with the events and trips calendar.
