    • Comprehensive database architecture mapped, implemented, and maintained across all IRH Airtable bases. Relational schema documented showing how fertility industry data connects across clinics, pharmaceutical companies, and private equity firms — with foreign key relationships covering ownership structures, personnel, financials, and operations. Schema accurately reflects real-world fertility industry relationships — including clinic-to-network ownership, PE consolidation structures, and pharmaceutical company roles — demonstrating applied understanding of how entities in the industry relate to one another. Architecture supports seamless addition of new company types and data categories without restructuring. System handles 1,000+ records without timeouts or performance degradation. 

 

    • Data integrity and automated workflows maintained through integrated systems. Field-level rules, automations, and permissions enforce standardized data entry while reducing manual management. Airtable automations and Zapier integrations cover data entry, approval processes, and Softr form submissions. Data quality audits conducted proactively and documented upon request. Integration or automation errors investigated within 1 business day.

 

    • Access control, permissions, and team onboarding properly configured and documented. Role-based permissions enforce appropriate access across all Airtable bases and views. Onboarding materials enable new team members to understand data structure and access protocols within their first week. Permission changes implemented within 24 hours. User activity monitored for compliance, with quarterly permission audits conducted.

 

    • Custom reporting, analytics dashboards, and business intelligence systems established and maintained. Airtable interfaces and external dashboard tools provide real-time visibility into fertility industry data trends and IRH content performance. Data quality metrics, user activity, and system performance tracked. Custom reports and dashboards delivered upon request from leadership or marketing.

 

    • Systematic data acquisition strategy executed to build comprehensive fertility industry intelligence. Ongoing processes identify, prioritize, and add companies across all sectors — clinics, networks, pharmaceuticals, equipment, services, and investment firms. Database scaled from current state to 1,000+ companies with enrichment covering ownership, leadership, financials, operations, and industry relationships. Conflicting information between sources flagged and resolved using documented decision rules.

 

    • All database structures, workflows, automations, and governance rules documented in shared company drives with version control. Structural changes to Airtable bases logged and approved before implementation to prevent disruption or data loss. Airtable, Softr, Zapier, MailChimp, and related integrations tracked for renewals, usage, and optimization opportunities.

 

What we think we have for you to achieve your outcome(s):

 

    • Airtable Pro subscription with full automation and integration capabilities
    • Existing Softr integration for form submissions and front-end applications
    • Zapier account for cross-platform workflow automation
    • Current Airtable bases with fertility industry data (requires restructuring)
    • Asana project management system for task tracking and Rock management
    • Brand Manager available for collaboration on dashboard design and user experience
    • A data architect that we work with that can help with large projects and on a consulting basis occasionally

 

What we don’t have (YET!) for you to achieve your outcome(s):

 

    • No Standardized data governance policies and procedures documentation
    • Historical data cleanup and migration support (may require temporary contractor)
    • Advanced analytics or Business Intelligence tools beyond Airtable's native capabilities
    • No dedicated training budget for team members on new database structure
    • NotThird-party data validation tools or services for large-scale data cleansing yet
    • You will have to learn how to document the data architect’s work thus far according to our company’s SOP
    • No one has been in data manager seat before. You have to complete the transition from the marketing team and figure out how your role interfaces with those of marketing and delivery
    • You will have to make work instructions and rules for people who do data entry
    • You have to intimately learn the nuances of the fertility field. This is a must. 
    • No sense of what fields can be deprecated. Need you to establish a system for doing so and determine that
    • Don’t believe we have an inventory of automations
    • No current log of data loss, user access, or service disruption. You’ll have to establish that and document the SOP of how to use it

    • Must Get, Want, and have the Capacity to achieve the outcomes aligned with the role
    • Must be a plus or a plus/minus on each of the five core values of Fertility Bridge
    • Leader specifies and judges the result of the outcome. 
    • Must be on brand with Fertility Bridge and Inside Reproductive Health brand guidelines
    • Employee or contractor  must specify exactly what is required to achieve outcome
    • Must be accountable in Asana
    • Must create Fertility Bridge assets in Fertility Bridge drives using Fertility Bridge account
