Vehicle Acquisition Assistant - Dick Hannah Volkswagen–Hyundai of Portland

Dick Hannah Volkswagen–Hyundai of Portland is looking for a motivated, organized professional to join our team as an Vehicle Acquisition Assistant. This role is focused on handling inbound vehicle purchase and trade‑in leads, guiding customers through our Instant Cash Offer process, and creating a smooth, professional experience from first contact to in‑store visit.

This is not a traditional sales role; it’s a customer‑focused position centered on follow‑up, communication, and process execution.

The Instant Cash Offer program is an important part of how customers engage with our dealership. Your role helps ensure customers feel supported, informed, and confident while also helping the store maximize opportunities and efficiency.


What You’ll Do

As our Vehicle Acquisition Assistant, you’ll be responsible for managing and following up on online Instant Cash Offer leads each day. This includes:

  • Responding promptly to new Instant Cash Offer submissions
  • Communicating with customers via phone, text, and email
  • Explaining the next steps of the ICO process in a clear, friendly manner
  • Scheduling and confirming in‑store visits
  • Managing follow‑ups for active, previous, and long‑term leads
  • Keeping detailed, accurate notes and tasks in our CRM systems
  • Ensuring every lead has a next step and nothing falls through the cracks
  • Working closely with management and the sales team to support conversions

What a Typical Day Looks Like

  • Logging into the ICO dashboard and CRM systems at the start of the day
  • Reviewing:
    • New leads
    • Active leads in progress
    • Older leads needing follow‑up
  • Contacting customers and documenting activity
  • Monitoring incoming leads throughout the day
  • Completing an end‑of‑day check to confirm all follow‑ups are logged and scheduled

Consistency and organization are key to success in this role.


What We’re Looking For

  • Strong communication skills (phone, text, and email)
  • High attention to detail and follow‑through
  • Comfortable working with multiple systems and dashboards
  • Professional, friendly, and customer‑first mindset
  • Ability to stay organized in a fast‑paced environment
  • Coachable and open to structured training and feedback
  • Automotive experience is a plus, but not required

Training & Support

You will receive:

  • Hands‑on training with our ICO tools and CRM
  • Clear daily processes and expectations
  • Ongoing coaching from leadership and the ICO training team

Compensation & Benefits

  • $20-$22 per hour, depending on experience.
  • Full‑time position. Schedule details discussed during the interview.
  • Generous Paid Time Off (PTO): We prioritize work-life balance, offering industry-leading PTO. New full-time employees accrue 4 hours per pay period, totaling approximately 96 hours in the first year, with increases over time.
