We are looking for a motivated and detail-oriented Administrative Assistant / BDC Representative to support our sales and finance teams with car deal paperwork, deal packaging, and customer communication. This hybrid role plays a vital part in ensuring smooth transaction processing and providing top-tier customer service through inbound and outbound communication.

Administrative Assistant / BDC Representative Compensation and Benefits: 

Administrative Assistant / BDC Representative Competitive Salary:  $20-$22 per hour 

Generous Paid Time Off (PTO):We prioritize work-life balance, offering industry-leading PTO. New full-time employees accrue 4 hours per pay period, totaling approximately 96 hours in the first year, with increases over time.

Administrative Assistant / BDC Representative Responsibilities: 

Deal Packaging & Admin Support

  • Review and organize car deal paperwork for accuracy and completion.
  • Package finalized deals for lender submission and internal processing.
  • Ensure all required documents are properly signed, scanned, and filed.
  • Maintain compliance with dealership and manufacturer guidelines.
  • Communicate with sales and finance staff regarding incomplete or incorrect documents.
  • Enter and update deal data in the DMS/CRM systems.
  • Maintain organized digital and physical files of all deal documents.

 

BDC (Business Development Center) Responsibilities

  • Make outbound calls, emails and texts to follow up with internet leads, unsold showroom traffic, and service customers.
  • Schedule new appointments and follow-up on missed appointments.
  • Use our CRM tool (e.g., VinSolutions) to track communication and follow-ups.
  • Provide accurate product, pricing, and appointment information to customers.
  • Support sales campaigns, offers, customer lists, and service-related tasks to drive customer engagement.
  • Foster strong communication and collaboration with the sales team to ensure seamless hand off of leads and effective teamwork.

  • Excellent communication. 
  • Physical ability to use computer hardware/software. 
  • Team player, willing to work in a team-oriented process, with a positive attitude. 
  • Ability to multi-task
  • Ability to work alone, self motivate and manage one’s own time.
  • Organized and extremely detail oriented. 
  • Ability to prioritize.
  • Basic knowledge of dealership operations and/or office/clerical experience.
