Position Overview
We are seeking a professional and highly organized Office Coordinator/Receptionist to join our San Antonio, Texas team. This individual will play a crucial role in ensuring the smooth day-to-day operations of our office. The ideal candidate will be a proactive multitasker with excellent communication and organizational skills who thrives in a dynamic and collaborative environment.


Key Responsibilities

  • Reception Duties

    • Serve as the first point of contact for visitors, clients, and employees.
    • Manage the front desk, answer incoming calls, and direct inquiries to appropriate personnel.
    • Maintain a welcoming and professional reception area.
  • Administrative Support

    • Manage schedules, book conference rooms, and coordinate meetings and appointments.
    • Prepare and distribute internal and external correspondence, including emails and memos.
    • Assist in maintaining records, filing systems, and office documentation.
    • Support senior staff with travel arrangements and expense reporting.
  • Office Coordination

    • Monitor and maintain office supplies, ordering replacements as necessary.
    • Oversee maintenance requests and liaise with vendors to ensure timely resolution of issues.
    • Coordinate logistics for company events, meetings, and team-building activities.
    • Ensure compliance with company policies, procedures, and safety standards.
  • Team Collaboration

    • Support onboarding processes for new employees, including workspace setup and orientation.
    • Work closely with HR, IT, and other departments to ensure smooth office operations.
    • Foster a positive and efficient workplace environment.

Qualifications

  • Education & Experience

    • High school diploma or equivalent (Associate’s degree or higher preferred).
    • 2+ years of experience in office administration, reception, or related roles.
  • Skills & Attributes

    • Exceptional interpersonal and communication skills.
    • Strong organizational and multitasking abilities.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Professional demeanor and ability to maintain confidentiality.
    • Self-motivated, detail-oriented, and able to work independently.
  • Additional Requirements

    • Familiarity with office equipment (printers, scanners, phone systems).
    • Experience in energy or infrastructure industries is a plus but not required.
