CLS is currently searching for a service-minded, mission-driven individual to fill the following position:

Legal Systems Technology Admin

OVERVIEW

The Legal Systems Technology Admin[TK1] [EM2]  is the operational manager for CLS’s firm management software platforms which includes case, grants, and compliance management. By streamlining workflows, improving system efficiencies, and championing continuous‑process improvement, this role directly supports CLS’s mission to deliver rapid, high‑quality legal services to our clients. The role partners with Executive Leadership, Litigation & Advocacy, and the IT team to identify bottlenecks, implement technology‑driven solutions, and ensure that staff can work more efficiently producing better results for our clients.

RESPONSIBILITIES

  1. Serve as the primary point of contact for operational questions and system updates related to CLS’s case management system.
  2. Lead initiatives that increase the speed, reliability, and cost‑effectiveness of CLS’s technology processes within our legal software (eg. case management).[TK3] 
  3. Develop, document, and deliver training that equips staff to use tools and procedures that maximize efficiency.
  4. Partner with Executive Leadership, supervisors, and frontline staff to map current case management, compliance, and grant administration workflows; identify inefficiencies; and redesign processes (including LegalServer 5 flow blocks) to reduce turnaround time, minimize manual effort, and improve service delivery.
  5. Collaborate with the Director of Technology and cross-functional stakeholders to configure, test, and implement system enhancements that automate routine tasks, improve data integrity, and streamline case progression.
  6. Work with the Director of Technology to support long-term system development goals, including planning for scalable enhancements, integrations, and continuous improvement initiatives.
  7. Troubleshoot and resolve operational and system issues in a timely manner; conduct root cause analysis and implement preventive solutions to reduce recurrence.
  8. Serve as a liaison between program staff and IT to identify and prioritize opportunities for automation, process improvement, and technology adoption that reduce repetitive work and improve service delivery
  9. Develop and deliver training, webinars, documentation, and job aids to support staff adoption of streamlined workflows and effective use of system tools to improve productivity and consistency.
  10. Partner with Compliance and Finance to oversee the Electronic Time Verification system, ensuring accurate time tracking, payroll integration, and compliance-ready reporting for audits and budgeting.

REQUIREMENTS

2. Background and Experience

 

  1. Minimum of 5+ years as a Legal Server admin or comparable case management systems, including configuring workflows, supporting system optimization, and improving data integrity and reporting functions.
  2. Hands-on experience designing and improving workflow processes, with a focus on streamlining case management, compliance tracking, and administrative operations to reduce manual effort and increase efficiency.
  3. Strong understanding of grant administration processes, including compliance requirements, funding restrictions, reporting timelines, and the development of structured workflows to support accurate and timely reporting.
  4. Demonstrated ability to analyze operational processes and translate findings into actionable improvements, performance metrics, and scalable system or workflow enhancements.
  5. Proven ability to develop and deliver training materials, documentation, and presentations to support staff adoption of new systems, tools, and workflows.
  6. Strong communication skills with the ability to clearly translate technical or operational concepts for both technical and non-technical audiences.
  7. Self-directed and detail-oriented professional with experience managing multiple priorities, meeting deadlines, and ensuring accuracy in operational and compliance-driven environments.
  8. Exposure to or working knowledge of API integrations or system connectivity tools used to enhance automation and streamline data flow between platforms.

 

3Physical Requirements

 

  1. Prolonged periods sitting at a desk, driving, and working on a computer.
  2. Must be able to lift to 25 pounds at times. 

 

STARTING SALARY: $80,000, more with experience.
