Job Description:
Travel Request:
- Responsible for processing LSA travel requests as outlined on the vendor intake form (within 24–48 hours) for contractors joining or leaving vessels for in-service ship visits.
- Ensures cost-effective booking of airline, hotel, and transfers (if needed).
- Sends all travel confirmation details to the vendor, project manager, and/or ship contacts, as appropriate.
- Manages changes and cancellations efficiently to minimize additional costs or fees; may contact suppliers for special assistance when necessary.
- Coordinates and monitors flight schedule changes with the air department as needed.
- Maintains the fleet travel mailbox and organizes file folders for tracking and monitoring purposes.
- Enforces travel policy guidelines and ensures vendors understand and comply with procedures.
Administration:
- Oversees LSA contractor travel request processing from initiation to completion, tracking cost, booking windows, travel patterns, number of transactions, vendor responsiveness, systems used, and adherence to standard procedures.
- Prepares and coordinates project documentation, reports, and operational procedures to support consistent execution and alignment with performance goals for air, hotel, transfers, and overall costs.
- Manages ERS/IMS administration for LSA and related travel requests, including creation, coding, approval, and tracking of all ERS submissions related to Fleet Travel expenses.
- Maintains and distributes weekly/monthly reports of all bookings to management.
- Supports the manager with special projects as needed.
Minimum Requirements:
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Excel and Word)
- Experience with Markview
- In-depth understanding of travel systems and processes, with Sabre proficiency required
- 3+ years of prior administrative experience
- Experience in hospitality, cruise line, or travel industries preferred
- Strong critical thinking, planning, and organizational skills
- Availability for weekend coverage, if needed
