Essential duties
As an experienced Service Advisor, your primary mission is to sell and schedule needed service work while ensuring each customer is treated in a manner that emphasizes their importance. Customer satisfaction ensures continued relationships with our customers.
Preparation & Scheduling
- Proactive Planning: Review the next day's appointments to be better prepared for customer arrivals by reviewing service histories and verifying that required parts are on hand.
- Smart Scheduling: Schedule service appointments, proactively obtaining customer and vehicle data prior to arrival whenever possible.
- Inquiry Management: Handle telephone inquiries efficiently regarding new appointments and active work in process.
The Service Drive & Consultation
- Elite Greeting: Greet customers in a timely, friendly manner, making them feel immediately welcome.
- Accurate Write-Ups: Diagnose and document customer vehicle problems accurately and clearly on repair orders. Test drive the vehicle with the customer as needed to confirm the problem, or refer it directly to a technician.
- Presentation & Education: Inspect vehicles, refer to service history, and recommend additional needed services by presenting official service menus. Advise customers on the care of their cars and the value of maintaining their vehicles in accordance with manufacturers’ specifications.
- Estimates & Logistics: Provide complete, accurate written cost estimates for parts and labor. Establish a clear “promised time” by checking with technicians/dispatch, and discuss alternative transportation needs (rentals, shuttles, or wait times).
Active Repair Tracking & Delivery
- Strict Progress Checking: Monitor the progress of vehicle repairs throughout the day.
- Authorizations & Compliance: Contact customers regarding any changes in the estimate or promised time, explain cost and time requirements in detail, and get proper authorization before any additional repairs are performed. Obtains customer signatures on repair orders.
- Shop & Grid Flow: Efficiently distribute work among technicians, maximize daily shop time, and ensure serviced vehicles are parked in their assigned areas.
- The Hand-off: Review repair orders to ensure that work is completed and additional work/authorization is noted. Close repair orders appropriately, establish the customer's method of payment, explain completed work and all charges clearly, and provide the customer with a copy at the time of pick-up.
- CSI Benchmarks: Maintain high customer satisfaction standards at or above company expectations.
Qualifications
- Previous Experience: Success as an Automotive Service Advisor with a strong record of positive customer satisfaction results.
- Leadership Capabilities: A demonstrated ability to manage others and coordinate team efforts under pressure.
- Exceptional Communication: An organized, friendly, and persuasive personality with fantastic communication skills.
- Autonomy: Sharp time-management skills and the ability to work with little supervision.
- Professionalism: A professional, well-groomed personal appearance.
- Requirements: Must be at least 18 years of age, hold a valid driver’s license, and have a clean driving record.
