Introduction - The Pennsylvania Automotive Association has been serving the automotive and affiliated industry for over 100 years, providing a variety of services to the franchised new car and new truck dealers in the state of Pennsylvania as well as used dealer and powersports. These services are delivered through a family of companies, all of which are focused on providing exemplary customer service to our members.
One of our divisions is the PA Automotive Association Insurance Agency (PAAIA). The agency oversees and manages three proprietary association/trust products, only available to PAA membership including dental, vision and life coverages. In addition, we are also a full-service broker to most of our insurance membership, including consolidated billing, full enrollment responsibilities, electronic enrollment processing, quoting support, and carrier remittance/reconciliation functions. We handle the full employees benefit packages (leading with health insurance) for 550+ dealers across the state of PA.
PA Automotive Association Insurance Agency is looking to bring in a valued teammate with a unique skill set to oversee this role. The ideal candidate will have both quoting and electronic enrollment experience, however both are not required to be considered.

Responsibilities (include, but not limited to):
Quoting Responsibilities – support quote development and case preparation by gathering required data, coordinating documentation, and managing timelines across internal teams, carriers, and external partners.
- Prepare and organize census data, plan design details, benefit summaries, claims experience reports, and other required documentation for RFPs, renewals, and new business quotes.
- Work within quoting portals, carrier platforms, and general agent tools to obtain, compare, and track proposals with a high degree of accuracy and timeliness.
- Maintain quote tracking, reporting, and follow-up processes to ensure assigned opportunities move efficiently from request through proposal delivery and implementation support.
Electronic Enrollment Responsibilities – serve as a primary resource for end-to-end enrollment processing, including maintaining accurate records, coordinating required documentation, and supporting timely eligibility and coverage updates.
- Monitor, maintain, and process daily electronic enrollment activity and related correspondence, including adds, terminations, demographic updates, life events.
- Provide customer service directly to dealership clients, employees, and carrier partners regarding enrollment status, eligibility, coverage effective dates, and documentation requirements.
- Perform audit, reconciliation, and reporting activities to validate enrollment accuracy, billing alignment, and system updates.
Sales Support & Administrative Responsibilities – position will be a key support to our assigned Regional Managers (Sales/Acct Mgmt.) including timely and quality proposals, sold and renewal case coordination, and new client implementations.
- Prepare, collect, and organize all necessary paperwork for case submissions, sold case processing, renewals, and implementation activities while coordinating with internal teams, clients, and external partners.
- Maintain familiarity with benefit summaries, COCs, plan rates, SBCs, census files, claims experience reports, and applicable data requirements to support case setup and ongoing account activity.
- Support implementation and ongoing account coordination across carrier partners, enrollment systems, and internal workflows to ensure smooth transitions and accurate setup.
- Track assigned cases, renewal milestones, and follow-up items to stay ahead of deadlines and support timely service delivery.
- Use spreadsheets and internal systems, including Excel, to support reporting, data validation, account setup, and ongoing administrative functions.
CRM System Maintenance and Enrollment Functions – working daily in our insurance system to process enrollments, coverage assignments, and any applicable changes.
- As a function of our services, we handle full-time enrollment responsibilities for many of our dealer groups.
- New member adds, lines of coverage assignments, demographic changes, life event activities, etc.
- Processing enrollment activity via paper, spreadsheets and/or online activities.
Customer Service and Sales Support
- Handling incoming general claims calls and emails from dealership clients and our associated membership.
- Assisting with priority enrollments, ID numbers, and billing issues with all applicable members and carriers.
- Working very closely with our Regional Managers (Sales/Acct Mgmt. team) on account transitions, system implementations, and carrier set-ups.
Qualifications:
- Team-oriented attitude.
- A self-starter with the ability to manage multiple deadlines, shifting priorities, and accuracy-sensitive tasks in a fast-paced service environment is essential.
- Prior experience with electronic enrollment platforms, eligibility processing, case submission workflows, and benefits administration in an insurance, broker, or TPA environment.
- Hands-on experience with quoting portals, carrier quoting tools, census review, proposal comparisons, and quote tracking/reporting is strongly preferred.
- Diverse experience working in Customer Resource Management (CRM) systems.
- A minimum of 5 years’ experience in a similar position, or similar industry experience.
- Deep understanding of employee benefits and claims processes, with an emphasis on health, dental, vision, and life lines of coverage.
- Strong communication skills, process discipline, and attention to detail are essential for managing enrollment accuracy, quoting timelines, and client-facing service responsibilities.
- Strong organizational, analytical, and computer skills, including proficiency in Excel and comfort working across CRM, enrollment, and carrier systems.
- Skills include: MS Excel, data entry, electronic enrollment processing, quote tracking, benefits administration, reporting, and vendor/carrier management.
