The Role:

The Event Producer plays a key role in bringing the Indigo Road member experience to life through the planning, promotion, and execution of dynamic events and programming. This individual is both highly organized and creatively driven, supporting event logistics while also owning the communication and marketing that ensures each event is well-attended and thoughtfully presented.

What we will ask of you:

  • Partner with the Event Manager to plan, schedule, and execute member and private events.
  • Assist with all aspects of event logistics, including setup, breakdown, and on-site coordination.
  • Act as an active host during events, ensuring a welcoming and engaging guest experience.
  • Serve as an on-site point of contact for members and guests, handling needs in real time.
  • Attend and support off-site events as a representative of the brand.
  • Create and manage event materials such as décor lists, supply needs, and vendor coordination.
  • Support AV and technical setup as needed for events.
  • Ensure all events are executed safely and in compliance with guidelines.
  • Build strong relationships with members, especially those hosting recurring events.
  • Communicate event details clearly and professionally via email, phone, or text.
  • Assist members through the event planning process, including reviewing event request forms and coordinating logistics.
  • Conduct community outreach to source unique event opportunities and partnerships.
  • Maintain a high level of hospitality, ensuring every member interaction reflects the brand.
  • Develop and produce marketing materials for events, including flyers, posters, app content, and newsletters.
  • Write clear, engaging, and concise event descriptions that drive interest and attendance.
  • Create and manage monthly and quarterly event communications, including push notifications and email campaigns.
  • Select and organize photos and visual assets for event promotion.
  • Ensure all event communications are timely, accurate, and aligned with brand standards.
  • Identify key events and initiatives that require advanced promotion and prioritize accordingly.

Requirements for Success:

  • 1–3 years of experience in events, hospitality, marketing, or a related field preferred.
  • Experience with event coordination, guest services, or marketing support is highly valued.
  • Familiarity with design tools, email marketing platforms, or CRM systems is a plus.
  • Strong passion for hospitality, events, and creating exceptional guest experiences.
  • Highly organized with the ability to manage multiple events and deadlines simultaneously.
  • Creative thinker with strong problem-solving skills and the ability to pivot quickly.
  • Excellent communication skills, both written and verbal.
  • Comfortable working in a fast-paced, ever-changing environment.
  • Detail-oriented with a proactive and solution-driven mindset.
  • Ability to work flexible hours, including nights, weekends, and holidays.
  • Comfortable lifting and moving event materials and working in varying weather conditions.
  • Experience with basic AV or event technology is a plus.
