Essential Functions include but not limited to the following:

 

 

  • Member Services & Front Desk Responsibilities
  • Greet and assist members and guests upon arrival, creating a positive first impression
  • Answer incoming phone calls promptly and courteously
  • Return member calls in a timely and professional manner
  • Assist members with upgrades, downgrades, and hardship requests
  • Conduct member amenity tours
  • Input guests on the gate list through Front Steps for tours and events
  • Transfer billing inquiries or title company calls to the Accounting Department
  • Maintain the highest level of professional confidentiality at all times
  • Maintain and update member files regularly
  • Data entry of membership information into Jonas
  • Assist with changing member numbers in Jonas
  • Delete dependent children over age 25 in Jonas (completed on Fridays)
  • Assemble and maintain membership packets, applications, and ACH forms
  • Ensure copies of membership packets and forms are always available
  • Email new members requesting completed applications when not received
  • Check Montgomery County website regularly for deed updates

  • Event Support
  • Assist with planning and hosting quarterly New Member Breakfasts
  • Assist the Membership & Events Director with club events
  • Input menus into BEOs for grille and club events
  • Maintain Asana with event floorplans and BEOs (entered at least 30 days in advance)
  • Keep Outlook and Asana calendars updated with event details
  • Make copies and distribute weekly BEO packets to employees every Tuesday
  • Assist with development of signage for catering team (buffet signs, bar menus, etc.)

  • Office & Administrative Duties
  • Operate office equipment including copier, scanner, fax, and computers
  • Order office supplies and track inventory using Excel spreadsheets
  • Keep printers and copiers stocked with paper
  • Maintain front desk and beverage station inventory
  • Prepare new member welcome bags (tumblers, hats, folders, etc.)
  • Assist with special projects assigned by the Membership & Events Director

  • Professional Standards & Expectations
  • Maintain professional attire and personal hygiene at all times
  • Follow all safety, security, and emergency procedures
  • Adhere to BWYCC mission statement and core values
  • Follow all standard operating procedures
  • Represent the club in a positive, professional, and enthusiastic manner
