Position Summary:

We are seeking a detail-oriented and client-focused Banking Project Operations Specialist to support high-priority initiatives within our franchise financing process. This role is central to managing the client journey from initial engagement through handoff to the banking team for lender presentations. The ideal candidate will be a strong communicator and project coordinator, ensuring a smooth, professional, and reassuring experience for every client.

Key Responsibilities:

  • Ensure timely and accurate processing of client files using File-invite and related software.

  • Maintain regular phone and email communication with clients to keep them informed throughout the process.

  • Review and analyze submitted documentation, including applications and checklists, for bank packaging.

  • Oversee business plan timelines and ensure projects stay on track.

  • Manage project operations, driving client files through each stage efficiently.

  • Conduct weekly on-boarding sessions for new clients.

  • Collaborate with internal teams to communicate key updates and developments.

  • Provide ongoing support and status updates to clients.

  • Handle follow-up calls related to Master Services Agreements (MSAs).

  • Enter and maintain accurate data in internal spreadsheets and tools.

  • Prepare and distribute MSAs using Panda Doc.

  • Liaise with strategic partners when necessary to support client needs.

  • Support daily operational tasks and contribute to team efficiency.

  • Uphold and contribute to quality control procedures and best practices.

  • Maintain confidentiality, professionalism, and high standards in all communications.

  • Collaborate effectively to resolve client matters in a timely manner.

  • Perform other duties as assigned by management.

Qualifications:

  • Experience in client services, operations, or project coordination (financial services experience is a plus).

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Proficient with tools such as Microsoft Office Suite, CRM systems, File-invite, and Panda-doc.

  • Ability to manage multiple projects and priorities in a fast-paced environment.

  • Strong problem-solving skills and a collaborative mindset.

Working Conditions:

  • Remote position (must have reliable internet and a distraction-free workspace)

  • Occasional travel may be required for meetings or professional development
