Encore Wealth Management Group, a private wealth advisory practice of Ameriprise Financial located in Louisville, KY, is seeking a personable and detail-oriented Client Service Coordinator to join our collaborative team.

In this role, you’ll be the welcoming face of our practice—serving clients with warmth and professionalism while managing a variety of administrative and hospitality-focused tasks that enhance our client experience. Key Responsibilities

  • Client Experience: Greet clients in person and by phone, creating a warm and professional first impression while directing inquiries to the appropriate team members.
  • Scheduling & Communication: Coordinate appointments, manage calendars, and ensure accurate meeting logistics for advisors and clients.
  • Hospitality & WOW Program: Support our client appreciation efforts by preparing personalized gifts, sending cards, and maintaining our ongoing “WOW” client experience initiatives.
  • Administrative Support: Handle incoming and outgoing mail, maintain office supplies, and assist with light reporting and tracking tasks.
  • Back Office Coordination: Dedicate one day per week to completing administrative tasks, preparing mailings, and organizing client deliverables outside of front-desk responsibilities.
  • Team Collaboration: Work closely with advisors and support staff to uphold the practice’s high standards of service and client care.

Qualifications

  • Experience: Minimum of 2 years of client service experience (reception, administrative, or hospitality roles preferred).
  • Industry Knowledge: Prior experience in financial services, banking, or real estate is a plus, but not required.
  • Education: High school diploma required. Additional education welcome but not necessary for success in this role.
  • Skills:
    • Strong interpersonal and communication abilities
    • Highly organized and attentive to detail
    • Proficient in Microsoft Word, Outlook, and Excel
    • Experience with Salesforce is a plus
    • Positive, outgoing, and team-oriented attitude

Compensation & Benefits

  • Classification: Non-exempt, hourly position
  • Hourly Range: $20–$24 per hour, commensurate with experience
  • Bonus Opportunities: Eligible for annual bonus programs
  • Work Schedule: Monday–Friday, 8:00 AM to 4:30 PM (in-office; 30-minute lunch)
  • Paid Time Off (PTO): 18 days in the first year (prorated), increasing annually
  • Paid Holidays: 7 per year
  • Comprehensive insurance benefits, including health (50% employer-paid), and dental and vision coverage (employee-paid).
  • Life and disability insurance (employee paid), with voluntary life and supplemental benefits available
  • Retirement Plan: 401(k) profit sharing with approximately 7–7.5% employer contribution (no employee match required; eligible after one year)
