The Intake Coordinator position is the "Care Traffic Controller" responsible for acting as the hub for new clients- managing all aspects of the client intake process by utilizing outstanding sales, marketing and customer service skills. These duties will be performed with consistent communication between the intake team and customer service department. This position operates in an office bases, fast paced environment that requires attention to detail, organization, and intuition. The Intake Coordinator reports to the Director of Marketing & Community Outreach and works at the Girard office. Comfort with computers and technology is critical, as the primary function of this role is to serve as the data controller of new clients throughout the admissions process.

Essential Duties/ Responsibilities

  • Provides leadership in promoting and maintaining standards for the delivery of high quality care by all members of the team in a caring and respectful manner, in keeping with the mission, core values, an independent living philosophy and relevant Agency policies and practice standards.
  • Schedule Maintenance
  • Communication with HR in regard to new client caregivers/ DCW's
  • Monitors PCA & HHA websites and schedule S.O.C.
  • Intake verbal and written referrals
  • Prior to the client’s intake appointment, verifies clients insurance coverage and prepares forms for intake interview.
  • Following a client’s assessment with a clinician, reviews enrollment information form from clinician for accuracy.
  • Maintains current knowledge regarding third-party and first-party payment procedures and regulations as well as preferred provider agreements.
  • Understands and complies with company HIPAA Policies and Regulations at all times.

Qualifications

  • High School Diploma or G.E.D equivalent preferred.
  • Two-year experience in an office setting with progressive responsibility; health- care setting preferred.
  • Interpersonal, communication, and organizational skills.  Strong customer service skills are a necessity.
  • Knowledge of principles and processes for providing and supervising the delivery of consumer personal care and home management services, including needs identification, meeting quality standards and evaluation of consumers including consumer satisfaction.
  • Knowledge of clerical procedures such as maintaining records and completing forms. Computer skills in Word and Excel preferred.

This is largely a sedentary role; however some filing is required. This would require the ability to lift/ carry up to 15lbs frequently, open filing cabinets, bending and standing as necessary. Work Environment

This job operates in a professional office environment.  This role uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Language Skills

Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints.
