Scheduling Supervisor – Home Care Experience Required

About the Position

Always Best Care Senior Services is looking for an experienced, motivated, and dependable Scheduling Supervisor to lead our scheduling operations and help ensure our clients receive consistent, reliable care.

We're looking for someone who knows the home care industry, can think on their feet, and takes initiative without needing constant direction. The ideal candidate is a natural leader who is comfortable making decisions, directing caregivers, solving scheduling challenges, and keeping daily operations running smoothly.

This is a leadership position, not an entry-level scheduling role. Previous home care scheduling experience is required.

Key Responsibilities

• Oversee daily scheduling operations to ensure all client shifts are appropriately staffed.

• Supervise and provide direction to scheduling team members, ensuring tasks are completed accurately and on time.

• Provide clear instructions, expectations, and directives to caregivers regarding schedules, assignments, and client needs.

• Proactively identify staffing gaps and work to fill open shifts before they become urgent.

• Handle caregiver call-outs, schedule changes, and last-minute staffing emergencies efficiently.

• Maintain consistent communication with caregivers, clients, families, and administrative staff.

• Monitor caregiver availability, attendance, reliability, and scheduling concerns.

• Match caregivers with clients based on experience, qualifications, availability, and client preferences.

• Address scheduling and caregiver performance concerns professionally and promptly.

• Anticipate scheduling challenges and develop solutions rather than waiting for management intervention.

• Ensure scheduling procedures and company policies are consistently followed.

• Collaborate with management to improve scheduling efficiency, caregiver retention, and client satisfaction.

• Maintain accurate scheduling records and documentation in the company's scheduling software.

Required Qualifications

• Previous scheduling experience in a non-medical home care or home health agency is REQUIRED.

• Prior supervisory, team lead, or scheduling management experience strongly preferred.

• Strong understanding of caregiver scheduling, shift coverage, and the challenges of providing in-home care.

• Ability to confidently lead caregivers, provide direction, and hold team members accountable.

• Excellent organizational, communication, and problem-solving skills.

• Ability to manage multiple priorities and remain composed in a fast-paced environment.

• Strong decision-making skills and the ability to work independently.

• Comfortable handling difficult conversations with caregivers and resolving conflicts.

• Experience with home care scheduling software; WellSky experience is a plus.

• Must be dependable, punctual, and proactive.

• Must be available to work one weekend day per month.
