HOME CARE OPERATIONS DIRECTOR

Always Best Care Senior Services is hiring a Home Care Operations Director to lead daily agency operations, caregiver staffing, service reliability, compliance readiness, and launch stage execution. This is a hands on role for someone who can create order, protect service quality, communicate clearly, and keep the business moving without adding noise.

The public title is Home Care Operations Director. The internal company title may be Director of Operations. Depending on qualifications, licensure requirements, and business needs, this role may also support Agency Administrator responsibilities.

Pay 
$72,000 to $85,000 base salary, plus performance bonus eligibility based on operational results and business conditions

Location
Wesley Chapel, FL office, serving the Tampa Bay area

Schedule
Full time, exempt, primarily in office during launch and stabilization, with limited flexibility after operational rhythm is proven.

Reports to
Owner and CEO, with close collaboration with Director of Nursing, Senior Care Advocate, Executive Assistant, caregivers, and vendor partners


WHAT YOU WILL OWN

  • Lead daily agency operations after licensure, including scheduling, caregiver coverage, call offs, service reliability, staff follow through, and operational readiness.
  • Own the operating rhythm for caregiver onboarding, documentation completion, training follow up, scheduling readiness, and retention support.
  • Coordinate client start readiness after assessment, including staffing plan, caregiver briefing, family communication support, and service stabilization.
  • Maintain operational accuracy in WellSky after client conversion and coordinate clean handoffs from WelcomeHome with the Senior Care Advocate.
  • Protect survey readiness through complete documentation, proof tracking, compliance follow through, and early escalation of gaps.
  • Track and report key operating metrics, including staffing readiness, open shifts, caregiver retention, client satisfaction, documentation completion, labor efficiency, and operational risks.
  • Create simple workflows, checklists, and reference tools that make the office easier to run and easier to audit.
  • Use AI supported tools and automation safely to reduce rework, without entering PHI, confidential HR data, client details, or sensitive business information into unsafe tools.
  • Keep the CEO informed through concise updates that identify the issue, decision needed, owner, deadline, proof required, and escalation risk.
  • Support a calm, accountable office culture where problems are named early, solved directly, and documented cleanly.

MUST HAVE

  • Three or more years of operations leadership in home care, home health, hospice, senior care, healthcare office management, medical practice administration, or a high accountability service business.
  • Direct experience supervising staff and managing daily follow through across scheduling, staffing, onboarding, payroll coordination, documentation, client service, or compliance tracking.
  • Strong judgment under pressure, including the ability to handle complaints, staff issues, missed documentation, client concerns, and competing priorities without creating confusion.
  • Clear written and verbal communication, including concise executive updates and professional communication with families, caregivers, referral partners, vendors, and office staff.
  • Comfort learning and using systems such as EMR or scheduling platforms, CRM tools, payroll systems, Microsoft 365, SharePoint, Teams, spreadsheets, and AI supported workflow tools.
  • Ability to work primarily in office during launch and stabilization, with rare local travel as needed for training, partner meetings, caregiver support, or operational needs.
  • Valid driver license and reliable transportation for local business needs.
  • Ability to successfully complete required employment screening after a conditional offer, consistent with applicable law.

NICE TO HAVE

  • Home care, home health, hospice, private duty, senior care, or AHCA regulated experience.
  • Active Florida RN license or healthcare administration credential. RN licensure is preferred, not required, unless final licensure structure requires it.
  • Experience with WellSky, WelcomeHome, Viventium, QuickBooks, SharePoint, Teams, Power Automate, and AI.
  • Experience launching a new office, growing a small agency, building a department from scratch, or working inside a franchise system.
  • Experience creating SOPs, checklists, dashboards, audit tools, training references, or operating standards that people actually use.
  • Experience with caregiver recruiting coordination, retention systems, call off management, or service recovery.

  • References, employment verification, and required screening will be completed before final offer as appropriate.
